Data-Retention and Deletion Explanation
Last updated: August 2026
This explains how long different types of data are kept and how they are deleted.
Children’s activity answers
Children’s responses exist only during the active session on the device being used. When the activity is finished and the document has been saved to the device (and any staff notification sent), the in-browser responses are destroyed. When the session closes, any remaining session data is destroyed. We never hold a historical record of a child’s voice.
Organisation data
We keep your home or organisation details and staff directory for as long as your subscription is active. When you close your account, this data is deleted or anonymised according to the retention periods set out below, retaining only what we must keep for accounting or legal obligations.
Retention periods
The table below sets out how long each category of data is kept. Where a period is described as “defined”, the exact figure is available on request from CustomerService@myvoicefirst.co.uk.
| Information | Retention period |
|---|---|
| Active organisation account | Retained for the subscription duration |
| Staff accounts | Deleted or anonymised within a defined period after closure |
| Access and security logs | Defined period, such as 90 days |
| Licence investigations | Retained until the investigation and any dispute period end |
| Billing records | Retained for the applicable statutory accounting period |
| Failed email logs | Defined short period |
| Anonymous statistics | Retained indefinitely in aggregate form (no personal data) |
Usage statistics
We retain aggregated, anonymous engagement statistics (counts only) indefinitely to help improve the service. These are never linked to an individual child and never contain children’s words.
Account closure
You can request closure of your account at any time. On closure, organisation data is deleted as described above. Because we do not store children’s answers, there is no children’s data to delete on closure — completed documents remain your responsibility.
Deletion requests
You can request deletion of your organisation data at any time, subject to any legal retention obligations. Contact us to make a request.
